What's New: Smarter Contract Renewals

We've made renewing a contract simpler and safer — for your members and for your staff. When someone buys a contract they already have active, the system now recognizes it and automatically sets the new contract to begin the day the current one ends. No overlapping charges, no gap, no phone call required.
1. Member Portal — Renewal Start Dates, Handled Automatically
When a member tries to purchase a contract they already hold, the Portal now detects the existing contract and guides them to a clean renewal:
- The system shows the member when their current contract expires.
- The new contract's start date defaults to the day after the current one ends — so coverage is continuous with no double-billing.
- The member can move the start date later if they want a break, up to two weeks past the expiration date.
- If they pick a date that would overlap the active contract, checkout is blocked with a clear message.
2. Member Manager — An Overlap Warning for Your Staff
When your staff sell a contract to a member who already has an active contract of the same type, Member Manager now shows a warning banner above the contract form:
- It names the existing contract, its expiration date, and a recommended start date.
- The start date field is highlighted so it's easy to adjust.
- It's a heads-up only — it never blocks the sale.
What This Means for You
- Fewer billing surprises — members don't accidentally pay for two overlapping contracts.
- Fewer support calls — members renew on their own without calling the front desk.
- Cleaner books — renewals flow straight into your normal payment schedule.
Good to Know
- Applies to term contracts only. Ongoing (no end date), Paid-in-Full, and Complimentary contracts are not affected.
- "Same contract" means the same product — a different contract type won't trigger the alert or warning.
- Members are charged at the time of purchase, exactly as today; only the recurring payment schedule shifts to line up with the new start date.
- In a multi-member purchase, each member is checked individually.
- No changes to existing contracts, and no new data to manage on your end.
