How to Schedule Reports for Automatic Email Delivery
Overview
Scheduled reporting allows you to automatically send selected reports to specific email addresses at set intervals — without needing to log into the system each time.
This is ideal for keeping clients, stakeholders, or team members informed with up-to-date data delivered straight to their inbox on a daily, weekly, or monthly basis.
Reports That Support Scheduled Emails
You can set up automatic scheduling for the following reports:
- Active Members by Program
- Automatic Renewals
- Invoice and Payments
- New Members
- Outstanding Invoices
- Payments by Type
If you don’t see a Schedule Report option, the report may not currently support scheduling.
How to Create a Scheduled Report
To set up automatic email delivery:
# Navigate to Reports.
# Open one of the supported reports listed above.
# Click Schedule Report.

# Select how often you would like the report sent:
Daily
Weekly
Monthly

# Enter the recipient email address.
# Click Save Changes.
Once saved, you will see the active email schedule displayed on the schedule screen.

The report will now be automatically generated and sent at the selected interval.
Managing Scheduled Reports
You can update, pause, activate, or delete scheduled reports at any time.
Pause, Activate, or Delete All Emails
# Go to the Schedule screen.
# Click the menu (three dots) in the top-right corner.
# Select:
Pause
Activate
Delete

Edit or Delete an Individual Schedule
For a specific scheduled email:
- Click Edit to update the frequency or email address.
- Click Delete to remove that scheduled email.
Enabling or Disabling Scheduled Reporting
If you do not see the scheduling option, the feature may need to be enabled.
To turn scheduled reporting on or off:
# Navigate to Settings.
# Select Automation Settings.
# Enable or disable the Scheduled Reporting option.

You may need administrator permissions to change this setting.
Best Practices
- Double-check that the report filters are set correctly before scheduling.
- Confirm email addresses to avoid delivery issues.
- Choose a frequency that aligns with how often the data changes.
- Periodically review active schedules to ensure they’re still needed.
Troubleshooting
Report Not Received
If a scheduled report doesn’t arrive:
- Check the recipient’s spam or junk folder.
- Confirm the schedule is Active.
- Verify the email address is correct.
- Ensure the report contains data for the selected timeframe.
If the issue continues, contact your system administrator or support team.
